The Champions pack provides resources for training members and prospective members of VOPE's on the VOPE toolkit.

The content includes all documents and presentations to run the following training events:

9.1 Hosting a Stand at a Conference

The documents and presentations in this section will enable you to host a stand at a conference or event.  The contents of this folder include:

1 Conference Stand Proposal

The one page generic stand proposal should be adapted to the requirements and the logistics of the specific conference you want to exhibit at. 

  •   IOCE logo and profile

The IOCE logo and profile for inclusion in the the conference programme.  

  • A two-page Toolkit Brochure

A two page VOPE toolkit brochure in PowerPoint and PDF format can be printed and/or electronically distributed to conference attendants.

2 Toolkit Poster for printing

You can print this poster in A2 format, laminate it and put it up near your stand.

3 Interactive Presentation

Four presentations are included, hyperlinks exist between these presentations to allow navigation from one section to another. Please refer to the notes of the specific slides to guide you in fitting the presentation to your needs. 

The main presentation is named INTERACTIVE PRESENTATION with links to the interactive presentations on each section for example 3 Interactive presentation Section 1 and hyperlinks to the VOPE Toolkit website.  Please test the links once you have copied the presentations to a different computer.  For the website links to work you have to connect your computer to the internet.

4 Tips to host a stand at conference

The tips in this document will assist you to host a stand running the interactive VOPE Institutional Capacity toolkit presentation at a conference.  Exhibitions create an excellent opportunity to build relationships and create awareness of the toolkit amongst potential users. 

5 Checklist for a stand at a Conference

This document contains a checklist for hosting a stand at a conference.  It is divided into 4 parts, covering the initial and final preparations as well as the items to remember on the day of the presentation.  You can use it as a tick list as is or adapt it for your specific presentation.

 

9.1.1 Generic Proposal for a Conference Stand

The stand proposal should be adapted to the requirements and the logistics of the specific conference you want to exhibit at.  This document contains a generic proposal.

Remember to add the IOCE logo and profile in the conference programme or conference pack. Consider printing the two page brochure included here to distribute to conference participants.

The firts presentation gives an overview of the development of the toolkit, the contents and a short introduction to navigating the website.  Please refer to the notes of the specific slides to guide you in fitting the presentation to your needs. Four presentations are included, hyperlinks exists between these presentations to allow navigation from one section to another.

The main presentation is named 1. OVERVIEW INTERACTIVE PRESENTATION with links to the interactive presentations on each section for example 3 Interactive presentation Section 1 and hyperlinks to the VOPE Toolkit website.  Please test the links once you have copied the presentations to a different computer.  In order for the website links to work you have to connect your computer to the internet.

It is important to store all four presentations to ensure the links between the presentations work.  You can start the first presentation (the overview) froom where the links to the different sections will be activated.

9.2 Short Presentation at a Conference (15min to 30min)

The documents and presentations in this folder will enable you to present the VOPE toolkit during a 15 - 30 minute presentation at a conference.  The contents of this folder include:

This abstract can be tailored to conform to the specific requirements of the conference you will be presenting at.

The IOCE logo and profile for inclusion in the conference programme. 

  • A two page Toolkit brochure 

A two page VOPE toolkit brochure in PDF format can be printed and/or electronically distributed to conference attendants or included in the conference pack.

The short presentation gives an overview of the development of the toolkit, the toolkit contents and some tips on navigating the website.  Please refer to the notes of the specific slides to guide you in fitting the presentation to your needs.

The tips will assist you in focussing your thoughts on what you want to achieve with this presentation. It will also give useful advice on preparing as well as delivering the presentation and answering questions.

This document contains a checklist for the presenter at a conference.  It is divided into 4 parts, covering the initial and final preparations as well as the items to remember on the day of the presentation.  You can use it as a tick list as is or adapt it for your specific presentation.

9.2.1 Abstract for Presentation at a Conference

This document contains a generic abstract to be used and customised for a 15 to 30 minute presentation at a conference.   The first text box contains a generic abstract of 80 worlds, followed by the objectives or anticipated outcomes of the session.

Note: The IOCE logo and profile needs to be included in the conference pack.  (This information is included in a word document titled: IOCE Logo and Profile).

Consider printing the toolkit brochure for distribution at the conference.  One option is to including this brochure in the conference pack of each participant, or you might consider distributing the brochure at your presentation, workshop or conference stand.

9.3 Workshop at a Conference (four hours)

This section includes all the documents and presentations you will need to facilitate a four hour VOPE Toolkit workshop at a conference or event.  The contents include:

Generic Abstract for Workshop at a Conference

This abstract can be tailored to conform to the specific requirements of the conference or event you will be facilitating the workshop at.

  • IOCE logo and profile

The IOCE logo and profile for inclusion in the conference programme. 

  • Toolkit Brochure

The two page VOPE Toolkit Brochure in PDF format is available for printing and/or electronically distribution to workshop and / or conference attendants.

Agenda, Attendance Register and Workstation Numbers

A draft agenda is included for your convenience, please adapt this agenda to reflect the specific times and sections of the Toolkit you want to focus on.

The attendance register should be printed before the workshop and all attendees should be requested to sign the register during the workshop.

You can either print relevant sections and resources of the VOPE Toolkit, create an offline version of the Toolkit, or use the internet to ensure participants have access and are able to engage with the content of the Toolkit.

Only if you use the workstation format for the workshop would you require workstation numbers.  Print the workstation number to label each workstation, this will enable participants to navigate from one station to the other during the workshop. 

Workshop Presentation

The presentation gives an overview of the development of the toolkit, the contents and a short introduction to navigating the website as well as guidance on engaging participants on the Toolkit content.  Please refer to the notes of the specific slides to guide you in fitting the presentation to your needs.

Workshops are great for interactive learning and building relationships. However they require careful preparation and planning.  The suggestions in this document will assist you in focussing your thoughts on what you want to achieve with this workshop and how to run it efficiently. It also gives useful advice on preparing for as well as facilitating the workshop and answering questions.

Please note the IOCE logo and profile should be included in the conference booklet/programme.  A document containing the logo and profile is included in this folder.  You might also consider printing the Toolkit Brochure for inclusion in the conference bags of participants.

9.3.2 Agenda, Attendance Register and Workstation Numbers

A draft agenda is included for your convenience, please adapt this agenda to reflect the specific times and sections of the Toolkit you want to focus on.

Remembet to print the attendance register before the workshop and urge all attendees to sign the register during the workshop.

You might consider three options (or a combination of them) to ensure participants have access to the website content.   The first option would be to print relevant sections and resources of the VOPE Toolkit, and create files for each workstation.  It is also possible to create an offline version of the Toolkit, and download this onto electronic media such as CD's or USB drives.  Participants will be able to link to the different section and resources if internet availablility is an issue.  If internet access will not pose a challenge at the workshop participants can directly access and post comment on the live website. 

Only if you use the workstation format for the workshop would you require workstation numbers.  Print the workstation number to label each workstation, this will enable participants to navigate from one station to the other during the workshop.

9.3.3 Four Hour Workshop Presentation

For the Toolkit Champion:  Literature about presentations suggests that telling a story as part of your presentation will increase the quality and keep the audience’s attention better.   Thus it is suggested that you enhance this presentation with the story of your VOPE.  How it came about, how long it has been operating and any anecdotes you can share.  Give examples of how your VOPE will be able to use the toolkit or has used the toolkit to illustrate how useful the content is.

Adapt the presentation to accommodate the way participants will engage with website content.  If you plan to use printout and a workstation format please adapt the workstation format presentation presentation to refect this namely: Workshop Presentation (workstation format).  If you are using an offline version of the website or internet access at the conference please you could use the second version of the presentation named: Workshop Presentation (offline website of internet access).

Test the presentation to ensure you can keep to the time period using all the slides, review and adapt the presentation to fit your facilitation style and objectives for the workshop.  

 Anticipated outcomes are:

  •  For workshop participants
    •  Become aware of a range of helpful resources to be used to build strong and transparent VOPEs.
    •  Become involved in disseminating the contents of the toolkit to other potential users.
  •  For Toolkit developers
    • Provides valuable feedback on existing resources
    • Highlights gaps and priorities for further development

9.3.5 Facilitation tips, games and energizers

Making your workshop interactive, participatory, and fun will be key in engaging your participants and creating an effective learning environment.  To help, many sessions already have participatory activities built in to the curriculum, and here we provide a number of ideas for energizers, name games, and interactive activities that you can adapt and incorporate to keep your participants energized and ready to learn.

9.4 Facilitate a VOPE Toolkit Meeting

The documents and presentations in this section will enable you to present the VOPE toolkit during a 30 minute face to face meeting with potential or existing users of the Toolkit.  The contents include:

Invitation to meeting

This is a generic invitation to attend a 30 minute face to face meeting to create awareness of the toolkit or establish how members of a specific VOPE could be assisted in using the toolkit. If you already know that the specific group is interested in one of the three sections of the toolkit, you can tailor your meeting to suit the group’s requirements.  Use and adapt (if necessary) one of the presentations included in the presentation folder for this purpose.  Adapt the invitation to reflect the specific purpose of the meeting if it was established beforehand.  E.g. for new VOPE’s you might want to share the resources in Section 1 at the first meeting.

 Presentations (choose the appropriate one)

The folder of presentations includes four presentations using you knowledge of the specific audience you are meeting choose one of the presentations.  Here are some guidelines:

  • For a general introduction to the toolkit and how people can benefit from it or be involved in creating awareness and enhancing the Toolkit use the (15min) Presentation VOPE Toolkit Introduction.
  • Using the level of maturity of the VOPE use either the presentation of section 1, 2 or 3.  Refer to the list below as a general guide.
    • For New VOPE’s, or members in the process of setting up a VOPE, use the Interactive presentation of Section 1
    • For members of VOPE’s founded already and starting the work of a VOPE, use the Interactive presentation of Section 2
    • For members of VOPE’s already running a few years, use the Interactive presentation of Section 3
